Bill Payment Approval
Payment run on schedule; zero missed obligations
AP is a queue that never empties. Every vendor invoice needs coding, matching, approving, paying. Manually, each is 5-10 minutes of AP-clerk time; at scale, AP becomes a bottleneck for the whole company. Late payments damage vendor relationships; too-early payments leak cash; missed approvals block departments. The tax on velocity is enormous.
An hour-by-hour walkthrough.
Step by step.
- 01
Aggregate approvals due
Morning cron reads outstanding bills. Groups by required approver per DoA policy. Flags anomalies (unusual amount, new vendor, no PO match, urgency).
Bill · Coupa · NetSuite · SAP - 02
Route per approval matrix
Per-approver batch card in Slack with all bills they need to approve. One-tap Approve, Reject, or Ask AP. Deadline for payment run cadence.
Slack · Approval Policies - 03
Post approved batch
Approved bills submitted to payment platform for scheduled payment run. Idempotent by bill ID. Failed submissions surface to AP with the failure reason.

Before and after, honestly.
Playbooks that pair with this one.
Wire Transfer Approval
Highest-risk variant; wires get a stricter approval chain than routine bills.
Vendor Intake & Onboarding
Upstream — vendor must be onboarded before bills can flow through this playbook.
Vendor Risk + Payment Hold
Complementary — vendor risk changes freeze the vendor's bills from this approval flow.
Month-End Close Coordination
AP cutoff at close relies on this playbook's batch cadence.
Answers about this playbook.
How does 3-way match work here?
Fin verifies bill amount = PO amount = receipt amount before showing to approver. Mismatches flag as anomalies and route to AP for investigation before approval — approver never sees a mismatched bill silently.
What if an approver is out?
Approval Policy has a delegate per approver. Delegate gets the batch card if primary doesn't respond within the deadline. Never blocks payment runs on an out-of-office primary.
Can we do same-day approvals for urgent bills?
Yes — urgent flag on the bill triggers immediate routing (not next-morning batch). Same approver, faster cadence.
How does anomaly detection work?
New vendor + unusual amount, or dramatic amount change vs. history, or missing PO — all flag as anomalies. Approver sees the flag with context and can drill in before approving.
What about international payments?
Same approval flow with FX conversion at scheduled payment time. Approver sees both base-currency and payment-currency amounts. Payment platform handles the actual FX + local rails.
