Mandatory Training Assignment

Training completion > 95% by regulatory deadline

The problem

Compliance training — security awareness, harassment prevention, code of conduct, region-specific privacy — has to happen. Missing it puts the company at legal risk. Reminding people to do it eats HR bandwidth. Most training tools just fire emails; nobody reads emails. The result: quarterly panic + compliance risk + resentment when someone gets flagged for missing training they never saw a nudge for.

How it feels in production

An hour-by-hour walkthrough.

New hire Priya starts Monday. HRIS event fires. Harry reads her role, region, and start date; consults the training template (all new hires: security awareness + code of conduct; engineers: secure-coding; California-based: state-specific harassment; managers of >1 report: manager training). Priya gets a Slack DM Tuesday morning with her 4 assigned trainings, due dates (30 days from start), and links to each course in Docebo. Two trainings are 15-minute videos; two are 45-minute interactive. Two weeks later. Priya has completed 2 of 4. Harry sends a friendly nudge with the remaining courses. Day 28. Priya still has 1 course left. Harry nudges again + copies her manager on the reminder. Day 30. Course still incomplete. Harry escalates: manager gets a status card, requires manager to either mark 'employee is on approved leave' (extends deadline) or acknowledge the miss (triggers compliance-team follow-up). Compliance team gets a weekly dashboard: 96% on-time completion, 3 employees on approved leave, 1 escalation open. Zero manual chasing.
How it works

Step by step.

  1. 01

Assign courses by role / region

HRIS event or scheduled cadence triggers assignment. Training template maps role + region + management-level to specific courses. Assignment writes to LMS with due date.

HRIS · LMS · Context Graph
  2. 02

    Nudge as deadline approaches

Slack / email nudge cadence: 14 days before due, 7 days before, 2 days before. Nudges are personalised, list only the incomplete courses, and link directly to the LMS.

  3. 03

    Escalate on non-completion

Past-due courses trigger manager notification. Repeated non-completion escalates to HRBP + compliance team. Never silently accumulates; every miss surfaces.

Frequently asked

Answers about this playbook.

What if an employee is on approved leave when a course is due?

Manager can extend the deadline via the escalation card with a reason. Extended deadlines still tracked; leave-based extensions don't count against on-time completion metrics.

Can we assign training on ad-hoc basis (not just role-based)?

Yes — Harry supports both scheduled/template-driven assignments and ad-hoc assignments from managers or compliance. Ad-hoc assignments follow the same nudge + escalation flow.

What about interactive training vs. video?

Harry doesn't care about the training format — he tracks completion per the LMS's own record. Courses can be video, interactive, live-instructor-led with a completion callback; all treated the same.

Does this work for external contractors?

Yes — configurable template per employment type. Contractors typically get a lighter set (data handling, code of conduct) with shorter deadlines.

How does it handle recurring training (annual refresh)?

Scheduled cadence per course type. Annual security refresh fires 12 months after completion (or on a fixed calendar date if your compliance requires it). Same nudge + escalation flow.
